    Job Description
    Job Purpose:    
    The administrative assistant provides support to the Executive Director and the Thief River Falls Chamber of Commerce (TRFCC).  This position requires a highly organized, motivated, friendly and energetic person to contribute to the Chamber’s wide range of administrative responsibilities and office support. 
     
    Job Responsibilities:
    The position is responsible for providing administrative support to Chamber staff management. 
     
    Major Job Duties:
    • Assist in TRFCC sponsored events and activities; registrations, sign in, track payment and billing methods, assist in delivering event materials to the venue, lifting boxes, set up & take down of event, pick up donations, prepare accurate deposit ledgers, deliver deposits to bank, make calls requesting donations for events
    • Perform bookkeeping procedures involving accounts receivable, accounts payable, and general ledger
    • Provide administrative assistance including but not limited to answering phones, fulfilling information requests, handling direct mailings, updating website, deliver mailings to the post office, purchase stamps, assuring all phone calls and messages are given to the Director and delivered accurately
    • Maintain current membership and organization databases ex: contact information, mailing and email information, phone numbers
    • Prepare internal and external communication to membership, committees, task forces, and staff
    • Organize central office (supplies, equipment, member information, brochures, etc.)
    • Organize central office including all brochures, maps and public information
    • Perform duties requested by the Executive Director and/or Board members in a timely manner. 
    • Count Digi-Bucks, calculate amount to be invoiced, deliver Digi-Bucks and invoice to Digi-Key
    • Count Chamber Bucks and record
    • Maintain office logs
    • Update information on the Channel 13
    • Run errands and purchase supplies per request of Executive Director
    • Shall clip all Chamber newspaper articles and mark dates and source for future reference
    • Assistant must be able to greet and assist visitors with their needs
    • Perform membership visits as assigned by the Executive Director and/or the Board of Directors
    • Actively attempt to identify potential cost saving measures
    • Organize filing cabinets
    • Other reasonable duties assigned by the Executive Director and/or the Board of Directors
     
    Knowledge, skills, abilities:
    • Proficient computer/software technology
    • Quality customer service skills essential
    • Confident and a “can do” positive attitude
    • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
     
    Preferred Qualifications:
    A two-year college degree with emphasis in marketing, communications, or management; or a high school diploma plus 3 years administrative assistance experience.  Experience in QuickBooks and Microsoft Office.
